This Privacy Policy relates to persons named on the website as coach, administrator or water safety and who are specifically employed by, or contracted to, Peg’s Surf Coaching.

This policy will be reviewed at least annually, and may be amended or updated at any time when it is deemed necessary to do so. We recommend that you check this page occasionally so that you are aware of any amendments. By using our website, you are agreeing to be bound by this Policy.


The type of personal information we collect

In the process of taking your booking and planning for your lesson, we currently collect and process the following information:

  • Name and contact details of all participants in lessons. Depending on how you contacted us, the contact details will be in the form of phone number (for everyone), plus email, WhatsApp, Instagram or Messenger link.

  • Name and age of children / young people under 18, plus name and contact details of person with parental / guardian responsibility who makes / confirms the booking

  • Name and phone number of emergency contact identified by you for the duration of your lesson.

  • Relevant medical / health related information for each participant in the lesson which is relevant to ensuring your safe participation in lessons (you will have been asked to complete a medical information document prior to your lesson as part of our booking terms and conditions)

  • Relevant individual needs information, where appropriate, which may affect access to the lesson and how we deliver coaching

  • Progress records of your previous lessons with us

  • Photographs or videos of surf lessons in progress taken by one of the persons identified above


In the process of reviewing the effectiveness of this website and our business, we will collect and process some data relating to you and your use of the site and our other social media platforms (e.g. Facebook or Instagram), or websites in the public domain where you have uploaded information. This includes:

  • Information you provide in relation to any promotion or competition provided on the website or via other social media platform

  • Information you provide in any feedback process, this may include reviews you have written in the public domain (e.g. TripAdvisor or social media platforms), or written feedback you have provided to us through forms or correspondence

  • Photographs which you have uploaded to social media or websites in the public domain (such as TripAdvisor)

  • Details of visits to the website or our other social media platforms which you access that will assist in identifying the effectiveness of our marketing



How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You contacted us electronically to enquire about our services and / or to book lessons.

  • You have given us information over the phone to confirm your booking and the needs of participants in the lessons

  • You have completed customer forms to confirm your medical / health or assistance needs, and to give details of emergency contacts


We also receive personal information indirectly, from the following sources in the following scenarios:

  • You interacted with us via one of our social media platforms which is in the public domain (e.g. FaceBook, Instagram).

  • You have completed other online reviews such as TripAdvisor




We use the information that you have given us in order to:

  • Process and confirm your booking, or to contact you in relation to the confirmed lesson

  • Respond to your enquiries, and ensure that two way communication between you and ourselves can be provided on a personal basis

  • Plan for the needs of participants in the lessons on an individual basis, and to ensure maximum enjoyment and safety of everyone in the session

  • Inform our progressive planning for subsequent lessons for returning customers

  • Organise competitions and promotions effectively and fairly

  • To follow up any matters relating to the contracted elements of the booking

  • Review the effectiveness of our marketing and running of our business

  • Promote the business through use of reviews and photographs which have either been provided by you, or for which you have agreed to be used for this process (see Terms and Conditions document)

  • To seek your feedback on and improve the services that we offer



Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Peg’s Surf Coaching via the contact page on the website.

(b) We have a contractual obligation with you.

Contact information is essential for:
- ensuring advance confirmation of bookings

- informing you of any changes to the booking

- emergency contact if arising

Collection and processing of some personal information (health, medical, individual needs and previous experience of all participants, plus age if under 18) is essential to ensure that Peg’s Surf Coaching can plan and deliver safe, professional lessons

(c) We have a legitimate interest in collecting and processing your information.

Peg’s Surf Coaching is a client focused business. We pride ourselves on being a small business which gets to know our customers on an individual basis in order to provide a surfing lesson and experience which is tailored to the needs of each of the participants. We hope that customers will enjoy their experience so much that they return to us for further coaching sessions in the future.

In order to continue to review, improve and promote what we are doing, we rely on the individual feedback and review from our clients. We feel it is essential to be able to respond to our customers on a personal and individual basis, and to be able to share and respond to the positive experience of people we have worked with


How we store your personal information

Depending on how you submitted you information (paper or electronically), it is securely stored either in a securely locked cabinet, or in password protected electronic files.

We keep contact information on our database for a maximum of 2 years from the time of your final lesson with us

Correspondence with you is maintained in the format used (email, text, or phone notes) from the time of your initial contact until 12 months after your final lesson. This allows for follow up sessions and review to take place effectively.

We keep health / medical / needs information for 3 months from the end of your lesson. Where you have booked further or ongoing sessions, this information will be kept ‘live’, with review or update at least every 6 months.

On a daily basis, for practical delivery of lessons, individual information which is relevant to the lesson will be stored securely on a document on the coach’s mobile phone. This will be deleted at the end of each session.


All the above stored data will be destroyed after the storage period through:

  1. incineration of paper formats

  2. removal from electronic storage device



Use of cookies
